Be sure to select a chairperson, someone to run your meeting. Ask for a volunteer chair and have the group approve this person. The chairperson is responsible for leading the meeting, making sure it moves smoothly through the agenda, ensuring that the group stays focused ont the business at hand summarizing the main points, and calling on people for comments. You can establish other people in position to help the chairperson, such as a person to keep track of time, and a person to keep track of the order in which people have raised their hands, a person to help initiate discussion from the floor.
At the beginning of the meeting, make sure that everyone agrees to the agenda, to how the meeting will be conducted and to how decisions will be made. Ask members of the audience to help the chair stick to the agenda and the rules to which you have agreed.
Establish who will chair you next meeting and what will be on the agenda for it before you
adjourn each meeting.
